They save real time, but they turn every meeting into a data processing activity under UK GDPR, one that includes your clients’ or customers’ own words. Businesses sometimes treat an AI note-taker like a personal habit, similar to jotting down notes by hand. Under UK GDPR, recording and processing what someone says in a meeting is a form of data processing, and everyone in that meeting has a right to know it is happening.

Tell people before you turn it on

Say clearly, at the start of the meeting, that an AI tool is recording or transcribing
Explain in plain terms what it does with the data: whether it is stored, for how long, and who can see the transcript
Give attendees a genuine chance to object, do not make it feel like a formality they cannot refuse
